Manual: 3.3 Recruitment Guidelines

Position:

Competition Number:

Step 1: Review

Job Description created and/or reviewed by HR and Supervisor/Director to ensure relevance

Classification of job description required for new or replacement position

Request for Recruitment form completed, above documents must be attached

Step 2: Job Posting

Job posting to be prepared by the Human Resources Department and approved by Departmental Director

Posting advertised (Media, Internal CAFN Offices, All staff email, websites, Facebook)

Step 3: Hiring Committee

Hiring Committee created

Conflict of Interest Form created and signed by members of Hiring Committee

Step 4: Screening

Applicant Screening Form prepared by HR

Hiring Committee meets to establish screening criteria and screen Applicants

Candidates selected for interviews

Consideration for Underfill Hire, if necessary

Step 5: Interviews

The HR department and position supervisor develop and review questions and answers for interview

The HR department schedules and confirms the interviews with the Hiring Committee and the candidates

Conduct interviews

Interviews are scored and the candidates are ranked in the Competition Results Form

Step 6: Reference / Security Checks

Reference checks with two job related references are conducted for top scoring candidate(s)

Security clearance process initiated with employees consent if applicable

Supervisor completes a Successful Candidate Rationale Form

Step 7: Offer of Employment – Maybe replace with the checklist

Letter of Offer Request Form completed by the supervisor

HR department notifies successful applicant, by providing two copies of the letter of offer and job description (one for File and one for employees records)

HR prepares and completes the Employee Sign‐On Checklist

Signed copy of offer letter, job description and other documents received

Candidate provided a copy of the CAFN Human Resources Manual

IT Request form completed

Haines Junction Receptionist notified in order to update staff directory and CAFN Website

Occupational Health and Safety Officer notified in order to schedule OH&S Orientation

Unsuccessful candidates notified by way of formal Regrets Letter

Step 8: Recruitment File

All applicants cover letters and resumes

Completed Screening Form

Screening Results Sheet
